When a customer calls for an appointment, the AI receptionist checks your calendar for free slots and books the appointment right away. It sticks to the hours you set, for example weekdays between nine and five only.
Rescheduling or cancelling, also after hours
Customers can call day and night to reschedule or cancel. The AI receptionist finds a new time within your availability, so the freed-up slot is open for someone else. You don't have to pick up the phone for it.
How does the assistant know when you're available?
From the working hours and appointment types you set during setup. For each type of appointment you set how long it takes and how much time you want in between. The assistant only books within those hours, and checks your calendar for what's already taken, so there are no double bookings.
Can it book different kinds of appointments?
Yes, and that's where it differs from an online booking form. In our recording at a hair salon a caller wants a cut and his roots coloured. The assistant knows that takes about two hours together, asks which hairdresser he'd like, and books him on a day that hairdresser works. A call like that easily takes a few minutes at the front desk.
Does it work with my calendar or practice software?
A calendar connection is always included. If your planning runs in salon or practice software, a connection to it is custom work: request a proposal and you'll see the cost up front. See for example how it works for a dental practice.
Confirmations and reminders
A confirmation or reminder by email or text message helps reduce no-shows. It is not part of the standard package, but we can set it up as custom work. The AI receptionist does not make outbound calls to customers.
