Considering an AI receptionist? These are the points where providers really differ: the voice, what it does after answering, integrations, support and price.

    Key takeaways

    • Listen to recordings of real calls and pay attention to the voice
    • Look beyond answering: appointments, transfers and recording details
    • Ask which integrations are standard and which are custom work
    • Choose a provider with support you can actually reach

    Does it sound natural?

An AI receptionist that sounds robotic or slow drives callers away. Look for a natural voice, smooth conversations without awkward pauses, and the ability to match the tone to your brand. So always listen to recordings of real calls before you choose. At ClientAssist you can listen to recordings of real calls.

Does it do more than just answer?

Answering is only the start. The value is in what happens next: answering questions, booking appointments, transferring to the right person and recording the caller's details. Check whether the assistant can handle your frequently asked questions and whether it knows when to hand a call over to a person.

Does it connect to your systems?

An AI receptionist only becomes truly useful when it works with your calendar, and possibly your CRM or webshop. Appointments then land in the right place and you don't have to retype anything. Ask which integrations are standard and which are custom work.

Who helps you when something goes wrong?

Choose a provider with support you can actually reach, that sets the assistant up for you and keeps thinking along. Especially in the first weeks, a dedicated contact is worth a lot.

Can you hear what it sounds like first?

Ask, and don't settle for a description. A voice that's called "natural" on paper can still sound tinny on the phone. At ClientAssist you can hear three real calls, one per voice, with the price per minute, and then choose yourself.

Does it say honestly that it's an AI?

It has to: since 2 August 2026 the AI Act requires that a caller knows they're talking to an AI. Ask how the provider handles that, and whether the notice can be switched off by accident. A vague term like "digital assistant" isn't enough; read why here.

How quickly are you live, and are you tied in?

Ask about the lead time and notice period before you sign. At ClientAssist you're usually live within 48 hours, the subscription can be cancelled monthly, and you get the fixed monthly fees back if you're not happy in the first 30 days. You keep your own number; here's how to forward it.

What does it cost, and what does it return?

Don't just compare the monthly price, but also what you get for it: the rate per call minute, the setup fee, the features and how long you are tied in. Weigh that against what a missed call costs you or what an extra employee would cost. At ClientAssist all prices are on our pricing page.
